Job offer acceptance email template (Malaysia)

An email to accept a job offer that confirms the pay and start date in writing, and a polite version to decline one. Fill it in, then copy or download.

Quick answer: reply within the time the employer gave you. Say you accept, then repeat the job title, monthly pay and start date so both sides have them in writing. Ask for the signed contract if you do not have it yet.

Subject: Offer for [role] – [Your name]

Dear [Name],

Thank you for offering me the position of [role] at [company], and for your time during the process.

After careful thought, I have decided not to accept the offer. I have accepted another role that fits my plans more closely.

I hope we will have the chance to work together in future.

Getting the terms in writing

Under the Employment Act 1955, a contract of service for more than one month must be in writing and must state how either side can end it (section 10).

An email that repeats the agreed pay and start date is a useful record until the contract arrives.

Common questions

Can I accept by email?

Yes. Many employers also ask you to sign and return the offer letter. Do both if asked.

Can I ask for more time to decide?

Yes. Ask once, give a date, and keep it short: "Could I reply by Friday? I want to review the terms properly."

Can I withdraw after accepting?

You can, but tell the employer as soon as possible and check the offer letter for any notice terms. It can harm your standing with that company and the recruiter.

Should I resign before or after I accept?

After. Accept in writing and receive the offer letter first, then resign with the resignation letter template.
